A process is a set of sequential steps that ensure the end product to be produced in a qualitative and consistent manner. These kind of consistent products will ensure least deviation and reduced defects. Thus creation of software services and solutions that possess minimal deviation from the client specifications are the goal of software development or maintenance projects. To enable this, it is a must that clear and well-defined processes are established in organizations or companies.

The importance of processes and their implementation is a key factor for the success levels of an organization. Thus understanding how processes are implemented in companies will aid in adhering to them effectively. It also helps more when we understand how the process implementation is to be followed and how it can affect us.

Process Implementation in Companies

Process Implementation is an organizational function where the management makes changes to the specific business functions of the company. Change is an inevitable action and it is a must to understand how to tackle it in the best way. It is necessary that companies understand the need to make the changes in an effective way. Also they should be well equipped so as to ensure that the change is brought in without much disruption to the existing structure or operations.

Implementing processes in the right manner is a task of utmost importance so as to bring in the right impact on the business services and solutions. The right processes and their proper implementation will bring in huge benefits by creating quality and consistent products. These aspects stress on the importance of a planned and prepared process implementation in companies.

Factors of Process Implementation

When a change is decided by the management, implementation of the change is the first and foremost point of discussion that needs to be made. It is important that the company plans on an implementation plan so as keep everyone on the same lines about the change.

Communication plays a very important role in process implementation. The need to communicate effectively about the process is the most important task of the management. Lack of communication or improper message being sent across might reduce the effectiveness of the change and the process on an overall level. It is also necessary to convey their role to managers and leaders so as to make them pass on the message and ensure everyone is on the same page. It is at times advisable to check back on the process implementation by means of an employee survey or feedback session.

Also implementing a process one at a time will help the employee understand the nature of the process or the change so as to adhere to it completely. Large goals of changes or random changes can de-motivate the employee and also cause a considerable increase in implementation time. In scenarios where the audience for the process or change is limited, a direct face-to-face communication would work better. This is because the features and nature of the process can be discussed directly to resolve queries or to know the reactions.

Once a process has been implemented, it is a must to ensure that it is followed properly. Most of the times, employees or team members tend to miss out on the new process, due to previous habit. This can cause a financial loss to the organization whose intensity might depend on the capital invested on the process.

How does it impact the employees?

The processes of an organization form the main crux of the job and it is highly important to make sure that we understand it better. A good knowledge of the company’s processes and policies will ensure work as desired and hence improve productivity.

When an individual joins a team or a company, it is necessary to become familiar to all the guidelines and procedures of the organization and adhere to it. This will ensure that your work is satisfactory to your client and manager.

The same effort needs to be put in when there is a change or a new process implementation in the company. It is the responsibility of the employee to clarify any concerns or questions with regards to the implemented process so as to avoid future delays and issues.
