Determining Quality Needs for Stakeholders

By Exforsys | on August 31, 2016 |
Project Quality Management

The ability to figure out the needs of your stakeholders will play a crucial role in project management. In recent years, engaging the stakeholders during social reporting has become extremely important for corporations and business organizations. At the same time, organizations must be capable of taking the time to measure the actual engagement process to properly verify and use the process result.

Not only is it necessary for you to measure the needs of Stakeholders process through the usage of the AA1000 Stakeholder Engagement Standard series, which encompasses principles-based standards to help organizations become more accountable, responsible and sustainable and there by establish the benchmark for good-quality stakeholder engagement. You must also be able to perform research for a wide variety of different measures.

Engaging Your Stakeholders is Incredibly Important

One way to work with the stakeholders efficiently is to become familiar with the AA1000 Stakeholder Engagement standard. This standard is designed to emphasize the manner in which the report is put together based on proof in regards to whether or not it properly showcases a picture of a company’s processes which is accurate. This standard was specifically designed for the benefit of the stakeholders, but it is challenging to measure a process that is so human.

The key holder of the AA1000 that you must become familiar with is accountability. This standard basically proposes that the stakeholder engagement must be measured based on three critical aspects for quality. These three aspects are:

  • Procedural Quality

  • Quality of outcomes

  • Responsiveness.

All three of these aspects differ, but are all important. With procedural quality, the needs must be measured or determined based on assessing the manner in which the engagement must be carried out, and whether or not the engagement was done in a consistent manner.

Responsiveness involves the evidence which the organization has gathered from the engagement method, and the knowledge which may actually be put into practice. This will largely be done through both decisions and essential policies.

Quality of outcomes is designed for evaluating the evidence that comes from both the costs and the benefits which the organization and the stakeholders will gain. Now that you understand the three most important aspects that play a role in determining the quality needs for stakeholders, you must next understand how it all functions.

How Does it Function?

While theories are important, their credibility always comes up short if they cannot be factually proven. Having said that, it is crucial for us to be able to gain a measurement of these three aspects which is highly perceptual. When it comes to procedural quality, you must figure out how it worked for you. You will need to figure out whether or not it was accessible, or if it was transparent, created in a manner which is built heavily on trust.

You will also want to figure out whether or not you gained the proper purpose via the engagement. The next thing you will want to figure out is the manner in which you were able to achieve the engagement purpose in the first place. Once this is determined, it is next a good idea to think of ways in which you can improve.

Once you understand the ways in which improvements can be made, it is now possible for the team to move forward so that they can ensure the delivery as well as the necessary objectives. For the next steps, you will want to make use of input for the process along with the planning for the agenda. When it comes to responsiveness, you will want to decide how you have listened to the evidence which has been presented.

You must consider what you have learned, and you must be willing to take action on this data. When it comes to the quality of outcomes, you must take the time to create a continuation for the engagement process. Once this is done, you must decide on what to do next.

Additional Facts to Consider

You have the option of moving on, and through the Engagement, you can figure out things such as how, where, or when. You also have the ability to communicate effectively via updates, information, or reports. It is important to decide the manner in which you will measure or showcase the performance. This is closely connected to responsiveness, and even when doing this, you must be responsible for deciding whether or not there are other people who can give you valuable input.

One thing that you have to keep in mind is that making a report in opposition to a standard will typically be a large step for many organizations. Making the decision to use the AA1000 is a critical one.
